WildHive Studio’s 5-Step Onboarding Process: What to Expect

I strive to make working together simple and easy for all of my clients.

At WildHive, I specialize in branding, packaging, and web design for product-based business owners looking for a timeless, minimal, and strategic approach. I help my clients stand out in their over-crowded markets, connect deeply with their customer base, and increase conversions.

Here’s what you can expect from the point of inquiring to work together all the way to Day 1 of your project!

 

The 5-Step Onboarding Process:

00 // Inquire via my Contact Page & Book an Intro Call

First, you’ll head to my contact page where you can fill out my Contact Form. This form provides me with some basic information about your business and project goals so I can best plan for our Introductory Call. Once you finish filling out the form, you’ll be directed to my online scheduler where you can choose a day and time for our call that works best for your schedule.  

01 // The Intro Call

During the Intro call, I’ll be asking you a few questions to get to know you, your business, and the vision you have for your business’s future. We will discuss your project goals, how we will measure the success of those goals, and the best path forward for achieving them.

Then, we can discuss the finer details of your project like the branding, packaging, and/or website design process, estimated timeline, start dates, pricing, and more. We’ll also take time to go over any specific questions or concerns you have about your project so you feel confident in your decision.

02 // Proposal

Once the call ends, I’ll get started on your custom proposal document. This PDF includes a recap of your project goals, multiple pricing options, an overview of my design process, and samples from my portfolio. You’ll get a full and complete view of what it would be like to work together as well as stats on what makes WildHive uniquely qualified to tackle your project.

03 // Onboarding Paperwork

After taking a few days to review your custom proposal, you can choose which option works best for your timeline, budget, and goals. I’ll then add the details to the following documents:

  1. Design Services Agreement - a contract outlining the scope of the project and other important details such as payment, timeline, and non-disclosure.

  2. Payment Plan - We will split your project price up into 2-3 payments that have specific payment dates, equally spaced out throughout the project timeline.

  3. Invoice - this first invoice will be for your 30% deposit which is sure before the project starts.

Once the Design Services Agreement is signed and the deposit is paid, I’ll send you a link inviting you to your Notion portal which is where we will be communicating throughout your project.

04 // Prep for your Start Date

Once you’ve received your invitation to your Notion Portal, you’ll be able to watch a walkthrough video showing you how to best use Notion throughout our project.  I’ll walk you through how to complete a few more onboarding and prep tasks like:

  1. Adding inspiration, photos, branding files, or any other project assets we need

  2. Scheduling your kick-off call

  3. How to send me a message on Notion and stay organized

05 // Kick-off Call

And that’s just about everything! All that’s left to do is show up on your scheduled kick-off call date so we can dive into your project! During the kick-off call, we will discuss the details of your project and conduct a strategy session if you’ve chosen a service which strategy.
